This policy explains what personal information Peak Accommodation Ltd collects when you use this website or stay with us, why we collect it, and what rights you have over it. We are the "data controller" for that information, which means we decide how and why it is used.

What we collect, and why
When you send an enquiry
Our enquiry form asks for your name and email address, and optionally your phone number, the type of stay, your check-in and check-out dates, the number of guests, which house you are interested in, and whatever you write in the message box.
These details are sent straight to our email inbox so we can reply. They are not stored in a database on this website.
Lawful basis: legitimate interests — you have asked us a question and we need your details to answer it.
When you book a stay
Bookings are handled by our booking system, whose calendar and booking form appear on our property pages. When you make a booking you provide your name, contact details, address, stay dates and payment details to that system, and we receive the booking information so we can host you.
Lawful basis: performance of a contract — we cannot provide the accommodation without these details. We also keep booking and payment records to meet our legal obligations for tax and accounting.
When you simply visit the site
Our hosting provider keeps standard server logs, which include your IP address, the pages you requested, the time of the request and your browser type. These are used to keep the site running securely and to investigate faults.
The booking calendar is loaded from our booking system's own servers, so that provider also receives your IP address when a page containing a calendar loads.
Lawful basis: legitimate interests — keeping the website secure and working.
Cookies and tracking
This website does not use Google Analytics, advertising pixels or any other tracking or profiling tools, and it sets no cookies of its own.
The booking calendar on our homepage and property pages may set its own cookies, which are necessary for the booking process to work. Our booking system provider's own privacy notice explains what it stores.
Our footer links to our Facebook and Instagram pages. These are ordinary links — nothing is embedded and Meta receives nothing about you unless you click through, at which point their own privacy policies apply.
Who we share information with
We do not sell your information, and we do not share it for marketing. We use a small number of service providers who process information on our behalf:
- Our booking system providerHandles reservations, guest details and payments.
- Our email providerHolds the enquiries and correspondence you send us.
- Our web hosting providerStores the website files and server logs.
- Our accountantBooking and payment records, for tax and accounting purposes.
We will also disclose information where we are legally required to, for example to HMRC or in response to a valid request from law enforcement.
Some of these providers are based outside the UK. Where information is transferred internationally, it is protected by the safeguards recognised under UK data protection law, such as an adequacy decision or standard contractual clauses.
How long we keep it
We keep personal information only for as long as we need it for the purpose we collected it for, or for as long as the law requires.
- Enquiries that do not become bookings3 years from your last contact with us, after which they are deleted.
- Guest correspondence and booking details3 years after your stay ends.
- Records needed for tax and accountingSix years from the end of the accounting period they relate to. This is set by law and we cannot delete them sooner.
- Server logsAs set by our hosting provider, typically a few weeks.
Your rights
Under UK data protection law you have the right to:
- Be informedKnow what we do with your information — which is what this page is for.
- Access itAsk for a copy of the personal information we hold about you.
- Have it correctedAsk us to fix anything inaccurate or incomplete.
- Have it erasedAsk us to delete it, where we have no continuing reason to keep it.

- Data portabilityAsk for it in a portable format, where it was provided by you and processed by automated means.

We do not use your information to make any automated decisions about you, and we do not carry out profiling.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk/make-a-complaint.
Changes to this policy
If we change how we handle personal information we will update this page and change the date at the top.
